Position Overview The Data Entry Specialist at careerzynith plays a pivotal role in ensuring that critical information is accurately captured, digitized, and maintained within our enterprise‑wide databases. This position demands meticulous attention to detail, a high level of typing proficiency, and the ability to work both independently and collaboratively. You will be responsible for converting paper‑based records, spreadsheets, and image files into clean, searchable digital formats that support our IT initiatives and business intelligence efforts.

Key Responsibilities

  • Enter, validate, and update data across multiple computer systems and cloud‑based databases with a focus on accuracy and speed.
  • Collect, scan, and digitize information from diverse sources, including handwritten documents, printed forms, PDFs, and photographic images.
  • Maintain organized, searchable archives of all data entry activities, ensuring traceability and compliance with internal data governance policies.
  • Perform rigorous quality checks to verify the correctness of entries, flag inconsistencies, and correct errors promptly.
  • Collaborate with cross‑functional teams—including IT, Operations, and Customer Service—to resolve data discrepancies and improve data collection processes.
  • Adhere to established data security protocols, safeguarding sensitive information and complying with privacy regulations.
  • Meet daily, weekly, and monthly data entry targets while maintaining high standards of precision.
  • Contribute ideas for workflow automation, suggesting tools or scripts that could streamline repetitive tasks.
  • Document standard operating procedures for data entry tasks to support knowledge sharing and onboarding of new team members.
  • Participate in regular training sessions and performance reviews to continuously enhance skill sets and stay current with industry best practices.

Essential Qualifications

  • High school diploma or equivalent; additional certifications in data management or office administration are a plus.
  • 1–2 years of hands‑on experience in data entry, data digitization, or related administrative roles.
  • Exceptional typing speed of at least 60 words per minute with a high degree of accuracy.
  • Demonstrated attention to detail, with a track record of delivering error‑free work.
  • Proficiency in Microsoft Office Suite—particularly Excel (including formulas and pivot tables), Word, and Outlook.
  • Ability to work autonomously, manage time effectively, and meet strict deadlines without sacrificing quality.
  • Strong organizational skills, capable of handling multiple data streams simultaneously.
  • Excellent written and verbal communication skills to interact with internal stakeholders.

Preferred Qualifications & Additional Skills

  • Associate’s or Bachelor’s degree in Business Administration, Information Management, or a related field.
  • Experience with cloud‑based data platforms such as Google Workspace, Microsoft 365, or Salesforce.
  • Familiarity with data entry software, OCR (Optical Character Recognition) tools, and basic scripting languages (e.g., VBA, Python).
  • Knowledge of data privacy regulations (GDPR, CCPA) and best practices for handling confidential information.
  • Previous remote work experience, demonstrating self‑discipline and effective virtual collaboration.
  • Ability to quickly learn new software applications and adapt to evolving technology stacks.
