About the Job The Donor Specialist is a contract role that ensures a critical aspect of Ossium’s work, getting donors in the door, occurs smoothly. In this role, you will answer emails and calls from partner organizations when they have potential Ossium donors to screen, manage documents and data associated with those donors, follow donors through the shipping process, and keep detailed notes on donor-related decisions. The work will require you to be friendly, professional, and enthusiastic during all calls and emails, maintain familiarity with Ossium’s donor guidelines, and be comfortable making decisions on unclear cases or with limited information. Donor screening volume can vary greatly, with some shifts involving numerous potential donors and others involving few. You will report to the Associate Director, Donor and Family Services. This contract role is a mid-shift position with three 12-hour shifts, 10 am to 10 pm PST (similar times can be considered +/- 1 hour), covering either a Monday/Tuesday/Wednesday or Friday/Saturday/Sunday schedule.

Required Qualifications

Minimum of one year of experience in a hospital, organ procurement organization (OPO), tissue bank, donation-focused call center, or donor screening/triage role. Demonstrated ability to review medical records and assess donor eligibility using established screening criteria, protocols, and clinical guidelines. Working knowledge of medical terminology and familiarity with organ, tissue, and donor recovery processes. Strong critical thinking skills with the ability to analyze incomplete information, identify potential concerns, and make sound eligibility decisions. Ability to exercise independent judgment while recognizing when escalation or additional review is necessary. Excellent organizational skills with the ability to manage multiple priorities simultaneously in a fast-paced environment. Exceptional attention to detail and commitment to maintaining accurate documentation and records. Strong verbal and written communication skills with a professional approach to all interactions. Proven ability to collaborate effectively across teams, proactively share information, and contribute to a positive and supportive work environment. Adaptability and willingness to embrace evolving processes, technologies, and operational needs while maintaining compliance with current industry standards and best practices. Proficiency with computer systems, web-based applications, and digital communication tools required to effectively perform in a fully remote environment. Ability to maintain a reliable, high-speed internet connection and dedicated workspace suitable for remote work. Preferred Qualifications 2+ years of experience screening organ or tissue donors at an OPO, tissue processor, or recovery partner Bachelor’s degree in a science or medicine-related field

Key Responsibilities

Respond promptly to donor screening referrals by reviewing medical records, donor documentation, and Donor Risk Assessment Interview (DRAI) information. Evaluate donor eligibility using established Ossium guidelines, clinical criteria, and available case information. Identify missing, incomplete, or conflicting information and proactively obtain additional documentation or clarification from partner organizations as needed. Make independent donor acceptance and deferral decisions within established guidelines, escalating complex or exceptional cases when appropriate. Complete donor verification activities, required documentation, and internal notifications related to donor eligibility and case progression. Create and maintain organized donor files, ensuring all supporting documentation is accurately recorded and readily accessible. Track donor cases through recovery and shipping workflows, providing timely follow-up and status updates as needed. Document all screening activities, eligibility determinations, partner communications, follow-up actions, and case outcomes in a timely and accurate manner. Coordinate with OPOs, recovery partners, and internal stakeholders to ensure efficient case management and resolution of outstanding issues. Monitor pending cases, complete follow-up activities, record final case dispositions, and communicate next steps to partner organizations. Serve as a primary point of contact for partner organizations by providing professional, responsive support and addressing screening-related questions and inquiries. Maintain current knowledge of Ossium policies, donor eligibility criteria, industry regulations, and operational procedures through ongoing training and education. Develop familiarity with partner-specific processes, documentation practices, and terminology to support effective collaboration and consistent communication. Contribute to process improvement initiatives and support the implementation of new workflows, technologies, and operational enhancements.
