Marketing and Events Manager

HR1Systems is seeking a creative, highly organized, and proactive Marketing and Events Manager to lead the planning and execution of internal and external events, client-facing conferences, trade shows, speaking engagements, and public relations activities. This role will support the CEO and Marketing team in strengthening HR1Systems’ brand presence, developing marketing initiatives, coordinating public events, and supporting strategic business development efforts. As HR1Systems continues to grow, the Marketing and Events Manager will play a key role in expanding the company’s visibility through high-quality events, conference participation, content promotion, and relationship-building opportunities. The ideal candidate has strong event management experience, excellent communication skills, the ability to manage multiple priorities in a fast-paced environment, and confidence working directly with senior leadership. Primary Responsibilities

  • Manage and maintain the CEO’s event planning calendar, including conferences, speaking engagements, podcast-related activities, and public events.
  • Schedule meetings and coordinate logistics related to event planning, marketing initiatives, and executive activities.
  • Research, plan, organize, book, and execute approximately six annual events, conferences, or trade shows.
  • Attend conferences and events as needed to oversee pre-event setup, on-site coordination, post-event breakdown, and follow-up activities.
  • Partner with the Marketing team to design, coordinate, and execute marketing materials for events, conferences, trade shows, and promotional activities.
  • Research local, national, and industry-specific events where the CEO may participate as a guest speaker, panelist, moderator, or featured attendee.
  • Support social media activity related to events, conferences, company initiatives, CEO appearances, and public relations opportunities, including posts, reposts, and promotional content.
  • Plan, design, coordinate, communicate, and execute the company’s annual global retreat.
  • Identify, research, and secure guest speakers for the CEO’s podcast, “When Worlds Unite: HR & AI.”
  • Support promotion and coordination of volunteer, charitable, community, and public-facing activities attended or hosted by the CEO.
  • Collaborate with internal teams, vendors, partners, clients, and external stakeholders to ensure events and marketing activities are executed successfully.
  • Track event budgets, expenses, actuals, estimates to complete, and estimates at completion.
  • Provide project management support for marketing campaigns, event deliverables, timelines, and cross-functional coordination.
  • Support the CEO with special projects, assignments, and other business or marketing-related tasks as needed.

Qualifications

  • 3–5+ years of experience in event planning, marketing coordination, executive support, or a related role.
  • Prior experience in human resources, technology, professional services, or related business industries preferred.
  • Demonstrated experience managing conferences, trade shows, executive events, client-facing events, or corporate retreats.
  • Strong project and program planning skills, with the ability to manage large workloads and competing priorities under tight deadlines.
  • Excellent verbal and written communication skills.
  • Strong organizational, analytical, problem-solving, decision-making, and presentation skills.
  • Ability to work confidently with senior leadership and maintain a high level of professionalism, discretion, and executive trust.
  • Solid time management skills with the ability to multitask across multiple small, medium, and large projects or events.
  • Strong teamwork, interpersonal, and relationship-building skills across all levels of management.
  • Experience with scheduling, budgeting, vendor coordination, and tracking actuals against budget.
  • Ability to set priorities, meet deadlines, and work independently in a remote environment.
  • Comfortable working in a fast-paced, growth-oriented company.
  • Motivated, self-directed, results-oriented, and customer-focused.
  • Strong attention to detail and commitment to quality.
  • Experience supporting distributed teams and collaborating in a virtual team environment.
  • Ability and willingness to travel domestically and internationally approximately 25%–50% annually.
