About the Role

Our client, a dynamic event management firm, is seeking a highly organized and proactive Remote Event Logistics Coordinator to join their fully remote team. This position is crucial for ensuring the seamless logistical execution of various events, managing details from venue coordination to vendor liaison, all performed from a remote work setting. The ideal candidate thrives on organization, excels at communication, and has a proven ability to manage multiple tasks efficiently. This role offers the flexibility of remote work while contributing to impactful events across diverse industries.

Key Responsibilities

Coordinate event logistics, including venue booking, accommodation arrangements, and travel plans for attendees and staff. Manage vendor relationships, negotiate contracts, and ensure timely delivery of services and products. Develop and maintain detailed event timelines, run sheets, and operational checklists. Assist in the creation and distribution of event-related materials and communications. Monitor event budgets, track expenses, and process invoices accurately. Conduct virtual site inspections and maintain detailed records of venue capabilities. Liaise with clients and internal teams to confirm event details and address logistical queries. Proactively identify potential logistical challenges and develop contingency plans. Ensure all event activities comply with relevant regulations and company policies. Post-event follow-up, including collecting feedback and completing final reconciliation.

Requirements

A minimum of 3 years of experience in event logistics, coordination, or a similar role, with experience in remote work environments preferred. Exceptional organizational skills, attention to detail, and the ability to manage multiple priorities simultaneously. Strong communication, negotiation, and interpersonal skills, with the ability to build rapport remotely. Proficiency with event management software, project management tools, and virtual collaboration platforms. Demonstrated ability to work independently, manage time effectively, and meet deadlines in a remote setting. A Bachelor's degree in Event Management, Hospitality, Business, or a related field is a plus. Problem-solving skills and the ability to adapt to changing circumstances. Reliable internet connection and a dedicated home office space are mandatory.
